SENIOR RECORDS ANALYST – ONEOK, Inc. Careers Job Summary

With minimal direction, provide technical and functional support as a records management subject matter expert to assist business units with maintaining their records in compliance with the Company’s Records and Information Management (RIM) Program; satisfying business, legal and financial requirements.  

Essential Functions and Responsibilities

  • Perform duties related to records management, electronic information and image management and corporate history/archive management.
  • Ensure the proper storage of semi-active and inactive physical records for which custody is given in a way that allows ready access by authorized individuals.
  • Manage updates to the records retention schedule including: receiving and vetting change requests, preparing changes for the retention committee’s review and  applying and publishing approved changes.
  • Review accuracy of the records metadata information on physical record transmittal forms:  identify inaccurate records descriptions, record dates, classification or other metadata needed for records. 
  • Develop and maintain guidelines for handling custodial records and files including, but not limited to:
    • Security procedures
    • File check-out and return
    • Location of files that have been checked out
    • Proper placement of returned files
    • Records retention
  • Develop, implement and provide training on RIM program procedures to business units.
  • Provide information to and coordinate with employees and contractors involved with activities and projects associated with records classification and retention. 
  • Coordinate with corporate communications group to implement a RIM communications campaign.
  • Assist with developing and delivering RIM training for ONEOK staff.
  • Research, draft and monitor reference material made available for internal customers.
  • Serve as a liaison with business units to establish and maintain consistent RIM related procedures and practices.
  • Assist with business units’ self-evaluation of compliance to the RIM program
  • Serve as a subject matter expert (SME) in more than one RIM program component by developing and maintaining professional, industry and organizational knowledge.
  • Assist peer groups and business units with inventorying records and determining proper record classifications.  This may involve ad hoc needs and project assignments.
  • Identify best practices and share with peer groups and other business units.
  • Fulfill key role in reducing the company’s storage costs and increasing efficiencies by observing and limiting unnecessary accumulation of documents, and encouraging timely destruction of authorized records. Guide business units in controlling costs and driving efficiencies associated and with records creation, storage, retrieval, and disposition.
  • Assist in record transfers to support acquisitions, mergers or divestitures.
  • Lead the RIM record coordinator network to grow and sustain active participation in the RIM program.
  • Regular and reliable attendance is required in performance of job.
  • Employee may be required to perform additional duties as assigned.

Education and Experience

Bachelor’s degree in information management, business management or other related field; or an equivalent combination of formal education and the following job related experience:

  • Three or more years of records or information governance experience in working with RIM related systems and processes at an enterprise level.
  • Experience in information resources management, information systems and technology, administrative management or law as it applies to records information and management.
  • Knowledge of records management principles and best practices.
  • Understand, apply and consistently communicate with department peers and internal customers on RIM or information governance fundamentals, terminology and processes.
  • Application of basic arithmetic: addition, subtraction, multiplication and division.
  • Experience using a records retention schedule and determining record disposition status.
  • Demonstrated ability to work with one or more business areas to successfully maintain comprehensive records and information in an efficient manner.
  • Experience in use and function of computers and software such as: Microsoft Excel, Word, Access, and PowerPoint.
  • Two or more years of experience in use and function of RIM discipline related software and applications.
  • Experience reading, interpreting and/or extracting information from various sources including files, contracts/agreements, legal documents, manuals, reports and correspondence.
  • Demonstrate a sound understanding of records management principles, theories and concepts for both electronic and physical records.
  • Experience and training related to:
    • Records management
    • Entering and maintaining information in databases
    • Handling confidential information
  • Demonstrated ability to develop information, conduct meetings, provide training and give presentations.
  • Ability to work independently and in a team environment.
  • Demonstrated ability to read and write fluently in English.

Certification and Licensing

  • Applicable driver’s license for travel to other company locations.

Physical Requirements

  • Mobility to travel in and around office facilities system wide.

Visual Requirements

  • Sufficient to perform job duties.
